Purpose

This policy outlines the terms and conditions for organizations or individuals (“Organization”) seeking to reserve and use facilities at Mid Michigan College (“College”).

Use of Facilities

The College grants the Organization permission to use the designated campus space for the date(s), time(s), and purpose(s) stated in the approved reservation request. Use of College facilities is subject to all applicable College policies, local, state, and federal laws.

Groups Allowed & Prohibited

The College reserves the right to deny or revoke reservations due to logistical issues, including but not limited to capacity, availability of adequate security, or conflict with college policies.

Allowed

Educational, civic, cultural, business, nonprofit, and community organizations whose activities align with the College’s mission and values.

Prohibited

Groups or events promoting illegal activity, hate speech, or activities deemed unsafe, discriminatory, or disruptive to the College’s educational environment.

Building Hours & Operations

Facility reservations must occur during regular College building hours unless prior written approval is granted. Standard building hours are 8am-4:30pm Monday - Friday.

Requests for use outside of standard operating hours may incur additional staffing or security fees.

Weekend reservations require prior written approval.

All participants must vacate the building promptly at the conclusion of the reservation period.

The Organization is responsible for setup and teardown within the reserved timeframe.

Fee Structure & Payment Terms

Facility rental fees will be assessed based on room type, duration, equipment needs, and event requirements.

Full payment is due no later than ten (10) business days prior to the scheduled event. Nonpayment may result in cancellation of the reservation and denial of future requests.

Cancellations made fewer than five (5) business days before the event may forfeit all or part of the rental fee.

Catering

The College does not provide catering or food service for events. The Organization is solely responsible for arranging catering services, food delivery, or refreshments.

Suggested local catering providers may be made available upon request, but the College makes no guarantees or endorsements.

The Organization is responsible for ensuring caterers comply with all College policies, including cleanup and disposal requirements.

Possession, consumption, or distribution of alcoholic beverages is strictly prohibited on all College property.

Responsibility for Damages & Loss

The Organization is fully responsible for any damage to or loss of College property occurring during or related to its use of the facilities. The Organization is also responsible for any damage caused by its participants, guests, or affiliates and will be billed for repairs or replacement.

Liability Waiver

The Organization acknowledges that Mid Michigan College is not responsible for damage, loss, or injury to the Organization or its members during use of College facilities.

Insurance Requirements

The Organization must provide a Certificate of Insurance naming Mid Michigan College as an additional insured, including

  • General Liability: Minimum $1,000,000 per occurrence
  • Room Reservation Policy Workers’ Compensation: If applicable
  • Automobile Liability: If transporting participants

Supervision & Safety

The Organization is solely responsible for the supervision and safety of all participants, staff, and volunteers.

Supervision of School-Age Groups

All school-age groups must be supervised by responsible adults at all times. Unsupervised youth groups will result in immediate loss of facility use privileges.

Responsibility of Conduct

The Organization accepts full responsibility for the behavior of all individuals under its supervision. Destructive or disruptive behavior will result in reimbursement for damages and may result in denial of future reservations.

Media & Photography

Events hosted by external organizations on College property are considered public events. The College may capture images or footage in which individuals may appear incidentally, without compensation.

The Organization is responsible for obtaining necessary participant releases, including for minors, in accordance with its own policies and applicable law.

Indemnification & Waiver of Liability

The Organization agrees to indemnify, defend, and hold harmless Mid Michigan College, its trustees, officers, employees, and agents from all claims, damages, injuries, or expenses arising from the Organization’s use of College facilities.

Compliance with College Policies

The Organization must comply with all College policies, including but not limited to the following policies.

Right to Cancel or Modify Agreement

The College reserves the right to cancel or modify any facility use agreement with at least 24-hour notice, or immediately if

  • the event poses a health, safety, or security risk.
  • the event conflicts with College operations.
  • the Organization fails to comply with this agreement.

Authorized Signature

The Organization representative completing the Facilities Reservation Form affirms that they are authorized to bind the Organization to this Agreement and accept its terms on behalf of the Organization.
